What personal data we collect and why we collect it

Hazledene Solutions offers various services to companies. Companies can request information about or engage in one of our services. Upon engagement, the information we collect from individuals is their “Contact Information” and many include their name, their company name/employer, phone number, email address, job title, social media accounts, along with any other relevant information related to the service they are engaging with. We do not collect any sensitive data about our customers.

Email Messages are handled by Roundcube Webmail and forwarded to Gmail – please see their respective Privacy Policy for further details (https://roundcube.net/about/ & https://policies.google.com/privacy)
We will collect information about customers and add them into the Salesforce CRM solution to track their requirements and engage with them via transaction emails for a period prior to any engagement, during an engagement or for a reasonable period of time after an engagement.

Who we share your data with

By default we do not share, distribute or reference any personal data except as may be required by law. We will not share any information provided to us with any third parties for marketing purposes.

We store data in our Salesforce CRM and sending emails via our email provider. See We collect information in the following ways section of this page for further details.

How long we retain your data

Data related to individuals who represent companies who have requested information about our services, will be retained on the database for 7 years from their last engagement with Hazledene Solutions as a record of their services / enquiry.

If you leave a comment on our website, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

What rights you have over your data

Under the Data Protection Act 1998, you have rights as an individual which you can exercise in relation to information we hold about you. You can find out more about those rights on the Information Commissioner’s Office Website: https://ico.org.uk/your-data-matters/

Under the Data Protection Act 1998, individuals have a right to find out if a company holds any personal information by making a ‘subject access request’. If we do hold information about you we will give you a description of the data, tell you why we have recorded the data, tell you who this data maybe disclosed to, and provide you with a copy. If you wish to make a ‘subject access request’ this will need to be in writing, to emma@hazledenesolutions.co.uk. Following this request, we will look to deal with your request informally, by telephone, and provide you with the information you require. We can follow a more formal approach, if required.

Hazledene Solutions is registered with the Information Commissioner’s Office (ICO), from whom we receive a range of practical advice and guidance on data protection and GDPR. The ICO also support individuals, and you can find out about your data protection rights on the ICO website.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
